Your Back to School Checklist: A Calmer Start to the New School Year

The summer holidays have a way of ending all at once. One moment you’re packing beach bags, the next you’re hunting for a name tape and a maths tutor. For most parents, the new school year doesn’t just mean a fresh timetable for the children — it means a small mountain of admin landing squarely on your shoulders. We see it every year, and we understand exactly how heavy that invisible load can feel.

So we’ve put together a genuinely useful checklist to help you start the term feeling prepared rather than frazzled. Work through it at your own pace, and remember: none of it has to be done by you alone.

The essentials: uniforms and supplies

Getting the practical bits sorted early takes the panic out of that first Monday morning.

•             Uniforms and PE kit. Order early, before the popular sizes sell out, and label everything. Check what still fits from last year before buying new.

•             Shoes fitted properly. Feet grow over summer — book a proper fitting rather than guessing.

•             Stationery and supplies. Work from the school list, and keep a small stock of spares at home for the inevitable “I need it tomorrow” moment.

•             Bags, lunchboxes and water bottles. Replace anything worn out now rather than mid-term.

Routines, term dates and the family calendar

The children aren’t the only ones who need to readjust after a lazy August.

•             Ease bedtimes back. Shift wake-up and sleep times gradually in the final week of the holidays.

•             Map the term dates. Add INSET days, half terms and holidays to a shared family calendar straight away — these are the dates that catch everyone out.

•             Plan the mornings. Decide who does drop-off, who does pick-up, and where the gaps are.

Tutors, clubs and extracurriculars

This is where diaries start to strain, and where a little forward planning pays off.

•             Book tutors early. The best tutors fill their diaries quickly. If your child needs support in a particular subject, secure it before term begins.

•             Choose extracurriculars thoughtfully. Swimming, music, football, drama — wonderful, but easy to over-schedule. Protect some downtime too.

•             Sort the logistics. Kit, sheet music, boots, subs and lift-shares all need a home in the calendar.

Childcare, nannies and the everyday

The parts that rarely make the list are often the ones that cause the most stress.

•             Coordinate childcare. Confirm your nanny’s hours, brief them on the new routine, and agree how after-school clubs and pick-ups will work.

•             Plan meals. A fortnight of tea-time ideas and a stocked cupboard removes one daily decision from an already full plate.

•             Prepare for the unexpected. Emergency contacts, a back-up pick-up person, and a plan for sick days.

Where a concierge quietly steps in

Here’s the honest truth: much of this isn’t difficult, but the sheer volume of it is exhausting. It’s the remembering, the chasing, the ordering, the coordinating — the mental load that hums in the background from September to July.

This is exactly where our team steps in. At Otium, we handle the school-run logistics you’d rather not: sourcing and labelling uniforms, researching and booking tutors, coordinating with your nanny, building the family calendar, arranging meal planning, and staying on top of term dates so nothing slips. Your time should work for you — and never more so than when family life is at its busiest.

Let us take the back-to-school scramble off your hands this year.

If you’d like a calmer, more organised start to the school year, we’d love to help. Get in touch with our team at hello@otium-concierge.com or call 03333406312, and we’ll take care of the details so you can focus on what truly matters — your family.
