Environmental Sustainability Policy

1. Purpose
Otium Concierge Ltd (“the Company”) recognises that sound environmental management is integral to running a modern service business. While we are not legally required to publish an environmental report, we voluntarily set, monitor and review environmental objectives to minimise our operational impact and to demonstrate good corporate citizenship.

2. Scope
This policy applies to all employees, contractors and operations under the direct control of the Company worldwide.

3. Key Commitments
• Maintain an almost paper‑free workplace through default‑digital processes.
• Measure and manage Scope 1 (direct fuel) and Scope 2 (purchased electricity) greenhouse‑gas emissions.
• The Company currently has no reportable Scope 3 emissions.
• Continual reduction of resource consumption and avoidance of waste.

4. Paperless Operations
• Cloud‑based CRM, e‑signature and billing platforms eliminate routine printing.
• Printing is permitted only when legally necessary; printers are set to duplex, black‑and‑white.
• Marketing and client collateral are issued electronically; any essential hard copies use FSC‑certified paper.

5. Emissions Tracking Methodology
• Scope 1: Log runtime and fuel usage of any on‑site backup generators.
• Scope 2: Collect monthly kWh data from smart‑meter portals for each office.
• Convert energy data to CO₂e using the latest UK Government GHG Conversion Factors.
• Enter results into a cloud ESG dashboard (Power BI) for trend analysis.

6. Monitoring & Reporting
• Environmental data are collated **every six months** by the Business Manager.
• A sustainability scorecard is reviewed by the Senior Leadership Team; action items are assigned and tracked.
• Summary performance is communicated to employees via the intranet and all‑hands meetings.

7. Continual Improvement
• Annual targets for electricity‑intensity reduction and residual printing are set each January.
• Staff receive annual training on energy and paperless best practice.
• This policy is reviewed biennially or sooner if business activities change materially.

**Scope 3 disclaimer:**

Otium acts primarily as an agency purchasing travel, hospitality and lifestyle services on behalf of our clients. Because these third‑party services are delivered by a diverse global supplier base over which we have no direct operational control or granular activity data, we do not voluntarily report Scope 3 emissions at this time. We will reassess this position annually as supplier‑level disclosure standards mature.
